Buyer's guide
How to evaluate occupational health software.
Feature lists look alike. The differences show up when you push one real exam through a vendor's product, from the employer's request to the invoice, and ask who does what at every step.

1. Start from one real exam
Pick an ordinary pre-employment exam and one awkward exception, such as a candidate who reschedules twice or a request missing information. Ask every vendor to walk both through their product, live, rather than presenting slides. You will learn more in that hour than from any feature comparison.
2. The employer's experience
- How do employers request services: portal, email, API or all three?
- Can an employer's HR or recruiting system send requests automatically and receive status updates back?
- What can each employer see, and who controls when a report is released to them?
- Can one employer with many sites be managed in one account?
3. The candidate's experience
- Can candidates complete forms and consent before they arrive, on their phone?
- How are reminders, confirmations and reschedules handled, and in which channels?
- What happens when a candidate calls the clinic after hours? Is the call answered, and can a booking be made or changed safely?
4. The clinical workflow
- Can you configure forms per service without the vendor's help?
- Are clinicians prompted to review answers that need attention, with the final decision left to them?
- How are sign-off, report generation and supporting documents handled?
- Beyond pre-employment exams, can the same system run recurring programs such as medical surveillance recalls, injury cases and DOT physicals, or will each need another tool?
5. Billing and finance
- Are invoices created from completed bookings, or re-keyed?
- Which accounting systems does it export to today, such as QuickBooks or Xero, and what happens when an export fails?
- Can you bill different employers under different price lists?
6. Security and compliance
You will be handling health information, so ask these early rather than at contract stage:
- Will the vendor sign a HIPAA Business Associate Agreement (US) or meet your local privacy law requirements?
- Where do they stand on SOC 2 and ISO/IEC 27001, and what can they share today?
- Where is your data hosted, and can staff sign in with your existing identity provider?
- Are access rights set per role and per employer, and is there an audit history of changes?
7. Implementation
- Who configures your services, forms and price lists, and how long does it take?
- Which integrations are included, and which are built for you during setup?
- How is existing data migrated, and how are staff trained?
- What support do you get after go-live, and how fast?
A one-page checklist

- Recurring programs on the same system.
- Invoices created from completed bookings, with accounting export.
- BAA, SOC 2, ISO 27001, hosting, SSO, roles and audit history.
